This policy explains how Ashtadasha Tech Solutions Pvt Ltd ("we", "us"), the maker of SiteMitra, collects, uses and protects personal data when you use the SiteMitra website, mobile app and web dashboard. We follow the Digital Personal Data Protection Act, 2023 and other Indian laws that apply.
1. Data we collect
- Account details: your name, mobile number, company name and, if you choose, email address.
- Business records you enter: sites, team members, workers and their attendance and wages, materials, bills, payments, advances, expenses, photos, voice notes and notes.
- Location: only when you allow it, to stamp photos and attendance with the place they were taken.
- Device and usage details: phone model, app version and error logs, so we can keep the app working.
- Messages to us: what you send us on WhatsApp, phone or email.
2. Why we use it
- To provide SiteMitra: log you in, store and sync your records, and send reports you ask for, such as the daily WhatsApp report.
- To bill your subscription and send invoices.
- To give support, keep the service secure and fix problems.
- To tell you about changes to the service. We send promotional messages only with your consent, and you can stop them at any time.
3. Records about your workers and team
When you enter details about your workers, staff, suppliers or clients, you decide what is entered and why. We process that data on your behalf, only to provide SiteMitra to you. Please collect only what you need and tell the people concerned that their details are kept in SiteMitra.
4. Who we share it with
We do not sell personal data. We share it only with service providers that help us run SiteMitra, such as cloud hosting, SMS for login codes, WhatsApp messaging and payment processing, under contracts that require them to protect it. We may also share data when the law requires it.
5. How we protect it
Data is encrypted in transit, sensitive fields such as bank details are encrypted when stored, access is limited by role, and every change is recorded in an audit log. Backups are taken daily.
6. How long we keep it
We keep your records while your account is active. Financial and audit records may be kept longer where the law requires, for example to meet accounting and tax rules. You can download your data at any time.
7. Your rights
You can ask to see, correct or erase your personal data, withdraw consent, nominate another person to exercise your rights, and raise a complaint. Write to [email protected]. We will reply within the time the law requires.
8. Children
SiteMitra is meant for businesses and is not meant for use by children.
